Activate your licence

On this page

Your shop has one licence key, written like XSSIT-XXXXX-XXXXX-XXXXX-XXXXX. It is in the email of your purchase and in your account on xssit.com. It is entered once, from any desktop, and the server keeps it. The counter computers never hold it.

Activate

  1. Start Ledger Desk on a computer that reaches the server. The sign-in card shows Activate Ledger Desk.
  2. Type or paste the key. Spaces, dashes and capital letters do not matter.
  3. If our team gave you an activation code for your server, press I have an activation code and type it too.
  4. Press Activate. This computer takes the first seat, which it shares with the server.
  5. Sign in with your account.

Seats and computers

  • Every edition includes a number of computers (2 in Basic, 3 in Standard, 5 in Premium). The server and the computer it was activated from count as one.
  • Each further counter computer takes a seat at its first sign-in, as long as one is free. Nothing needs to be typed on it, but that first sign-in must be by an Admin or a Developer. Anybody else sees This computer needs to be added to the licence until a manager has signed in there once.
  • A computer is recognised by its hardware. Copying the Ledger Desk folder to another computer does not move the seat.
  • When every seat is taken, a new computer shows This computer has no seat and does not replace any other one. Free a seat (below) or add a seat to your licence on xssit.com, then sign in again.

The Licence page

Settings → Licence is for administrators and developers. It shows:

  • The edition, the plan, the licence holder, when it ends (or Never for a lifetime licence) and Updates included until.
  • Computers: how many seats are in use, and the list of computers with their version and when they were last seen. This computer and Main are marked.
  • Active users allowed and how many accounts are active now.
  • What your edition includes: each feature, included or with the edition that has it.
  • Last confirmed: when the licence site last confirmed the licence.

Buttons

  • Check now asks the licence site at once, for example right after you bought more seats or a higher edition.
  • Change key moves the shop to another licence key. This computer takes a seat of the new one.
  • Remove the key gives every seat back and stops Ledger Desk on every computer until a key is entered again. The data of the shop stays on the server.
  • Upgrade and My account open your account on xssit.com.

Freeing a seat and blocked computers

  1. On the Licence page, choose the computer you no longer use.
  2. Press Give back the seat and confirm.
  3. That computer is signed out and Blocked: it can not sign in again, even if a seat is free, until somebody allows it.
  4. To bring it back, choose it in the list and press Allow again. It takes a seat at its next sign-in, if one is free.

The main computer (the one the server was activated from) shares its seat with the server and can not be removed on its own. Change or remove the key instead.

How often the licence is checked

  • The server confirms the licence with the licence site about every 15 minutes, and at every sign-in when the last check is more than a couple of minutes old. A plan you buy or change on xssit.com reaches the shop within minutes, at the latest at the next sign-in.
  • Every computer follows the change within seconds: features unlock or lock by themselves.
  • When the licence site can not be reached, Ledger Desk keeps working on the last confirmation for up to seven days, with a banner that says until when. After that it stops until the site is reached again.

Subscriptions

A licence can be paid once or monthly or yearly. For a subscription the Licence page shows its state:

StateWhat it means
TrialThe free trial, with the day it ends. A banner reminds you before it ends.
ActiveIt renews every month or year.
Payment lateThe last payment did not go through. Ledger Desk keeps working for the time the licence site allows, with a banner. Update the payment method with Manage subscription.
CancelledIt ends on the day shown, and Ledger Desk works until then.
EndedThe subscription is over: see below.

When the licence ends

When the licence expires, is cancelled or can not be confirmed for too long, only administrators and developers can sign in, to renew it or enter another key. Nothing is deleted: renew and the shop continues where it left off.

A lower edition

  • Features your new edition does not include show a lock and the edition that has them. What was saved while they were included stays readable; only changes are refused.
  • If the shop has more active users than the new edition allows, the oldest accounts keep working and the newer ones can not sign in until an account is disabled on the Users page or the edition is upgraded. No account is disabled and no data changes by itself.
  • The built-in Developer and Administrator roles always get in, so the licence can always be fixed.

A computer that is offline (Premium offline mode) keeps working with what it already had; it learns about a new edition when it reaches the server again.
